How to Upload Documents

  1. Go to your chatbot's Sources page
  2. Click Add Source
  3. Select Document
  4. Choose a file from your computer
  5. Wait for processing to complete
Drag and Drop

You can also drag and drop files directly onto the Sources page.

Processing Status

After uploading, your document goes through these stages:

  1. Pending - Queued for processing
  2. Processing - Text extraction and embedding
  3. Ready - Available for chatbot responses

Processing time depends on file size. Most documents complete within 1-3 minutes.

What Gets Extracted

From PDFs

  • All text content
  • Text from tables
  • Headers and footers
Images in PDFs

Text embedded in images (scanned documents) may not be extracted. Use OCR tools to convert scanned PDFs to searchable PDFs first.

From Text Files

  • All text content is used directly
  • Line breaks and formatting are preserved

Best Practices

Document Quality

  • Use searchable PDFs (not scanned images)
  • Ensure text is clear and error-free
  • Remove unnecessary headers/footers if repetitive

Content Organization

  • Use clear section headings
  • Break long documents into logical sections
  • Include a table of contents for long documents

What to Include

Good documents for training:

  • Product documentation
  • FAQ documents
  • User manuals
  • Policy documents
  • Knowledge base articles

What to Avoid

  • Documents with mostly images
  • Scanned documents without OCR
  • Spreadsheets (use text export instead)
  • Documents with sensitive personal data

Document Metadata

After processing, you can see:

  • File name
  • File size
  • Character count
  • Number of chunks created
  • Processing date

Updating Documents

To update a document's content:

  1. Delete the existing document
  2. Upload the new version
No In-Place Updates

Documents cannot be edited after upload. To make changes, delete and re-upload.

Troubleshooting

Processing Failed

Common causes:

  • File is corrupted
  • PDF is password-protected
  • File exceeds size limit
  • Unsupported file format

Solution: Check the file opens correctly on your computer, remove password protection, and try again.

Content Not Appearing in Responses

  • Wait for processing to complete (status shows "Ready")
  • Test with a question directly related to the document content
  • Check that the document contains the expected text
